Business process automation: where to start and what to automate first

Almost every business has work that people repeat every day: copying data between systems, chasing approvals, building the same report. Automation can remove much of it, but only if you start with the right process and design it to be reliable.

A five-step way to start

  • List repetitive tasks: ask each team what they do every day or week that feels mechanical.
  • Score each one: how often it happens, how long it takes, how error-prone it is and how rule-based it is.
  • Map the best candidate end to end, including exceptions, before touching any tool.
  • Simplify the process first; automating a broken workflow only makes the mistakes faster.
  • Automate, then measure time saved and errors avoided, and use that to choose the next process.

Common processes worth automating

  • Lead capture, enrichment, assignment and follow-up reminders.
  • Invoice and purchase-order approvals with automatic reminders.
  • Customer onboarding steps triggered by a signed agreement.
  • Scheduled reports compiled from several systems.
  • Document intake, where AI can read and extract key fields for review.

No-code tools or custom code?

Low-code platforms are excellent for simple, low-volume flows and let non-developers make changes. Custom integrations suit high volumes, complex logic or strict reliability needs. Many businesses use both, choosing per process.

Pitfalls to avoid

  • No error handling, so failures go unnoticed until a customer complains.
  • Automations that only one person understands, with no documentation.
  • Skipping the people affected, which leads to workarounds and low trust in the system.
